What is required to confirm a reservation?

A reservation is confirmed only after the Nexus Nights Rental Agreement is signed, the required valid government-issued ID is received, the 25% non-refundable Reservation Deposit is paid, and Nexus Nights issues confirmation. A quote, inquiry, intake, cart, or soft hold is not a confirmed reservation.

How much is the Reservation Deposit?
Booking & Payment

The Reservation Deposit is 25% of the total rental amount. It is applied toward the final rental balance and is generally non-refundable, except where otherwise required by California law.

When is the remaining balance due?
Booking & Payment

Your remaining rental balance and any applicable delivery charges are due on the day of your event. Your initial 25% non-refundable Reservation Deposit is applied toward your reservation total.

Are reservations first-come, first-served?
Booking & Payment

Availability does matter, but Nexus Nights can place requested equipment on a complimentary soft hold for up to 14 days while you finalize your booking. A soft hold is not a confirmed reservation. Your reservation becomes fully confirmed once all required booking steps are completed, including the signed Rental Agreement, required government-issued ID, and 25% non-refundable Reservation Deposit. If the reservation requirements are not completed before the soft hold expires, the equipment may be released for another customer.

What happens when I book within 48 hours?
Booking & Payment

Events within 48 hours cannot be completed through ordinary online checkout. Call or text Nexus Nights so the team can review equipment, preparation, delivery, setup, staffing, and scheduling availability. Expedited availability is not guaranteed, and an additional disclosed fee may apply based on the specific reservation requirements.

What identification is required?
Booking & Payment

A valid government-issued photo ID matching the reservation name is required for reservation confirmation. Accepted identification includes a Driver License, State Identification Card, Passport, or Military Identification Card. The file is stored privately for authorized Nexus Nights administrators and is not exposed as public website media.

How long is my government ID file retained?
Legal

The actual ID file is retained until 90 days after the reservation is completed or cancelled, then permanently deleted. Deletion may be temporarily paused for an active chargeback, payment dispute, damage, theft, insurance or legal claim, investigation, litigation hold, or another legitimate unresolved matter. After deletion, Nexus Nights retains only a non-sensitive verification record—not the ID number or a replacement copy.

Which payment methods are accepted?

Nexus Nights accepts Cash App, Venmo, PayPal, Zelle, Apple Pay, debit card, credit card, invoice payment links, and cash when approved in advance.

What is the cancellation policy?
Cancellation & Changes

Cancellation requests must be submitted in writing by email or text. Reservation Deposits are generally non-refundable except where otherwise required by law. Amounts paid beyond the deposit may be refunded, credited, or retained based on labor already incurred, inventory commitments, administrative costs, and the ability to rebook. If Nexus Nights cancels for a reason within its control, the customer receives a full refund or rental credit equal to the amount paid. Weather-related cancellations follow the Weather Policy.

What happens if weather becomes unsafe?

Inflatables and applicable electrical equipment cannot operate during unsafe wind, lightning, heavy rain, standing water, or other hazardous conditions. Use must stop when manufacturer limits or Nexus Nights instructions require shutdown. Weather-related changes are handled under the Rental Agreement and confirmed with the customer.

How does delivery pricing work?
Delivery & Setup

Delivery is included within 15 miles of Oakland, California. Mileage beyond the included radius is $1.00 per mile unless stated otherwise in writing. Delivery and pickup windows are estimated service windows and may shift because of traffic, route optimization, weather, venue restrictions, prior events, or operational conditions.

Who must be present for delivery?
Delivery & Setup

A responsible adult age 18 or older must generally be present to accept delivery and confirm placement unless Nexus Nights approves alternate written delivery instructions.

What is included with standard setup?
Delivery & Setup

Standard setup includes delivery, placement, and setup in a reasonably accessible location near the delivery area. Extra charges may apply for stairs, elevators, long carries, narrow gates, multiple floors, timed load-ins, security checkpoints, rooftops, beaches, parks, difficult terrain, or locations without nearby loading and parking. These details must be disclosed before confirmation.

What is required for pickup?
Delivery & Setup

Equipment must remain accessible and generally stay in its original setup location unless Nexus Nights instructs otherwise. Blocked access, waiting, disassembly, inaccessible equipment, return trips, or additional labor may create extra charges.

What site access information must I provide?
Delivery & Setup

Customers must provide safe and legal access, including parking, gates, venue credentials, loading access, elevator or stair details, and other site requirements. Missing access information may cause delays, extra fees, rescheduling, refusal of an unsafe setup, or cancellation when performance becomes impossible.

Who handles venue rules and permits?
Power, Water & Permits

Customers are responsible for venue requirements, load-in rules, noise ordinances, park rules, HOA rules, operating restrictions, permits, licenses, park reservations, fire permits, and venue authorizations unless Nexus Nights specifically agrees in writing to obtain one.

Do I need electricity or water?
Power, Water & Permits

Some equipment requires adequate electricity, water, or both. If utilities are unavailable or inadequate, Nexus Nights may modify, relocate, substitute, delay, or cancel the applicable setup. Generators, cords, hoses, adapters, and other equipment may cost extra unless included in writing. We will help confirm the correct setup.

What happens if equipment is damaged?
Equipment Responsibility

Customers are responsible for damage beyond ordinary wear and tear, including punctures, tears, burns, stains, broken parts, water or electrical damage, blower or motor damage, missing accessories, pet damage, food or beverage damage, guest-caused damage, and weather damage caused by improper use.

What does the Optional Damage Waiver cost?
Equipment Responsibility

The Optional Damage Waiver is exactly 15% of the applicable discounted equipment or package rental subtotal. It has no minimum and no maximum, is never preselected, and is not calculated on delivery, mileage, taxes, expedited fees, deposits, attendants, staffing, labor, or consumables. The Rental Agreement controls the complete coverage and exclusions.

What happens if equipment is lost or stolen?
Equipment Responsibility

Customers are financially responsible for lost, abandoned, or unrecovered equipment. Charges may include reasonable replacement, transport, labor, procurement, and administrative costs. Theft or suspected theft must be reported to local law enforcement, and a police report number must be provided to Nexus Nights within 24 hours.

What condition must equipment be in at pickup?

You are responsible for every Nexus Nights item from delivery through pickup, including how children and guests use it. Remove personal items, decorations, toys, shoes, cups, wrappers, trash, food, drinks, slime, gum, paint, tape, glitter, confetti, silly string, mud, and sticky residue. Empty concession leftovers and give accessible surfaces a quick wipe. Never open, soak, repair, repaint, alter, or disassemble equipment. Inflatables must be completely empty. Unauthorized disassembly is treated as damage.

Can Nexus Nights handle basic cleanup?
Equipment Responsibility

When eligible equipment is in your reservation, checkout offers an optional per-item Equipment Cleaning Service with the exact fee shown before you sign. You may select the service or choose $0 and perform the listed basic cleanup yourself. Nexus Nights still sanitizes equipment between customers. The service does not cover damage, missing parts, hazardous or bodily-fluid cleanup, prohibited substances, excessive contamination, or unauthorized disassembly.

What happens if a component is missing?

Customers may be charged replacement cost for missing cords, stakes, hoses, remotes, bags, parts, accessories, or supplied components. Do not discard supplied packing materials.

What are the general equipment-safety rules?
Safety

Follow all written and verbal instructions, keep equipment secured as delivered, stop use immediately if an unsafe condition develops, and do not move or alter secured equipment without Nexus Nights approval.

Is adult supervision required?
Safety

A responsible adult age 18 or older must supervise equipment whenever minors are present and whenever the specific equipment requires supervision.

When must inflatable use stop?
Safety

Inflatable use must stop during unsafe wind, lightning, heavy rain, or any condition outside manufacturer limits. Customers must follow Nexus Nights shutdown and evacuation instructions.

Which activities are prohibited?
Safety

Do not climb on frames, roughhouse, use open flames, smoke or vape near equipment, or bring sharp objects near rentals. In inflatables, shoes, food, drinks, gum, confetti, silly string, face paint, glitter, and sharp objects are prohibited where indicated.

What should I do during an emergency?
Safety

Stop equipment use immediately. Shut off powered equipment when appropriate, contact emergency services when needed, and notify Nexus Nights as soon as practical.

Can Nexus Nights stop an unsafe rental?
Safety

Yes. Nexus Nights may discontinue use or terminate a rental when equipment is being used unsafely or improperly. Intentional misuse may result in termination and damage charges.

Do rental activities involve risk?
Legal

Certain rental equipment and event activities involve inherent risks. Customers must follow all safety instructions and the Nexus Nights Rental Agreement. The complete agreement contains the controlling Assumption of Risk, Release of Liability, and Indemnification language.

What happens during events outside anyone’s control?
Legal

Performance may be affected by circumstances outside Nexus Nights’ reasonable control, including severe weather, wildfire, government restrictions, utility outages, strikes, road closures, natural disasters, civil disturbances, and acts of God. The Rental Agreement contains the controlling Force Majeure terms.

May Nexus Nights photograph the event?
Legal

The Rental Agreement allows Nexus Nights to photograph or record events for promotional purposes unless the customer provides written notice before the event requesting exclusion.

How much is required to reserve my rentals?

A signed rental agreement and a 25% non-refundable reservation deposit secure the equipment and date. The remaining rental balance and delivery fee are due later.

How long is the rental?
Booking & Payment

Standard rentals are priced for up to eight hours. Overnight or multi-day arrangements require approval and may change the price.

How is delivery priced?
Booking & Payment

Delivery is free within 15 driving miles of our private Oakland origin. After that, delivery is $1 per additional route mile.

Do you deliver and set everything up?
Booking & Payment

Yes. Standard delivery includes professional setup and breakdown for applicable equipment.

Can I book an event happening within 48 hours?
Booking & Payment

Online booking closes 48 hours before the event. Call or text us to request rush availability. A rush-rental fee may apply.

What happens if the weather becomes unsafe?

Inflatables and electrical equipment cannot operate in unsafe rain, wind, standing water, or other hazardous conditions.

Can you set up at a park?
Delivery & Setup

Yes. We regularly serve parks, but customers are responsible for reservations and permits unless Nexus Nights agrees otherwise in writing. Tell us the park rules, unloading access, surface, and insurance requirements before booking.

Do inflatables need electricity?
Power, Water & Permits

Yes. Inflatable blowers need continuous power while operating. We confirm outlet distance and can add the correctly sized generator when dependable power is unavailable.

How close must the outlet be?
Power, Water & Permits

A safe, dedicated outlet should generally be within 50 feet of the setup area. Longer cord routes and shared circuits must be reviewed before event day.

Can inflatables go on grass or concrete?
Safety

Yes, when the surface and access are appropriate. Grass normally uses stakes. Concrete or asphalt requires enough approved sandbag weight. Tell us the exact surface before we arrive.

Are concession supplies included?
Equipment Responsibility

Some concession rentals include a stated starter quantity. Each product or package page explains exactly what is included. Additional food, mixes, syrups, bags, cups, and serving supplies are available by guest-count quote.

How many tables and chairs should I order?
Booking & Payment

Use the guest-count selector on the Packages page. It matches groups from 10 to 60 guests with an appropriate table-and-chair package.

What is included with a movie-night setup?
Booking & Payment

It depends on the package. Movie options can include a 16-foot or 25-foot screen, Epson projector, JBL sound, and concessions. The customer provides the movie or streaming access.

Do schools, nonprofits, or churches receive discounts?
Booking & Payment

Eligible schools, nonprofits, religious organizations, funerals, and qualifying community events may receive 20% off after Nexus Nights verifies eligibility. Customers cannot add this discount themselves; contact us before payment so it can be approved and attached.

Can I add equipment after booking?
Cancellation & Changes

Yes, when inventory and scheduling allow it. Contact Nexus Nights so we can revise the order, balance, power plan, and pull sheet together.
